GuardWatch Pro ("we", "our", "us") operates the platform at guard-watch-pro.com and related subdomains (including 1chsecurity.com). We provide professional guard management software to security businesses, including shift management, spot-check scheduling, real-time alerts, and handover reporting.

2. What Data We Collect

We collect only the data necessary to deliver the GuardWatch Pro service.

2.1 Account & Guard Data

  • Guard names, PINs, and role designations — used to authenticate guards and team leaders at sign-in.
  • Shift sign-in and sign-out timestamps — recorded when a guard begins and ends a shift.
  • Spot-check response data — including response times and whether checks were missed.
  • Handover notes and incident reports — submitted by guards during shift handovers.
  • Team leader contact details — name and email, if provided for account administration.

2.2 Technical Data

  • IP addresses and browser type — captured at sign-in for security and session management.
  • Server access logs — standard HTTP request logs for operation and security monitoring.

2.3 We Do Not Collect

GuardWatch Pro does not collect device location data, biometric data, CCTV footage, or any data beyond what is necessary for guard shift management. We do not sell or share personal data with third parties for marketing purposes.

3. How We Use Your Data

  • To authenticate guards and team leaders at sign-in and maintain secure sessions.
  • To schedule and deliver spot-check alerts and track guard responses.
  • To generate shift handover reports and incident logs.
  • To calculate compliance statistics (e.g., missed check rates) for team leaders.
  • To operate, maintain, and improve the GuardWatch Pro platform.
  • To respond to legal requests where required by law.

4. Data Retention

Guard data, shift records, and spot-check logs are retained for as long as your organisation maintains an active GuardWatch Pro account. Upon account closure, all personal data is permanently deleted from our servers within 30 days, unless a longer retention period is required by law.

Handover reports and incident logs are retained for a minimum of 12 months for operational and liability purposes.

5. Data Security

GuardWatch Pro uses industry-standard measures to protect your data:

  • All data transmitted between the guard app, team leader dashboard, and our servers is encrypted in transit using TLS.
  • Our servers are protected by firewalls, access controls, and regular security monitoring.
  • Access to personal data is restricted to authorised personnel only.
  • Guard PINs are stored securely and are never displayed in plain text after initial setup.

While we strive to protect your data, no internet transmission is completely secure. We cannot guarantee absolute security, but we are committed to maintaining appropriate technical and organisational measures.

6. Cookies & Session Management

GuardWatch Pro uses minimal cookies and equivalent session tokens solely for:

  • Authentication sessions — to keep guards and team leaders signed in during active shifts.
  • Security — to detect unauthorised session use.

We do not use advertising or tracking cookies. The guard station app and team leader dashboard do not use third-party tracking scripts.

7. Your Rights (GDPR & UK GDPR)

If you are located in the UK or European Economic Area, you have the following rights regarding your personal data:

  • Right of access — request a copy of all personal data we hold about you.
  • Right to rectification — request correction of inaccurate personal data.
  • Right to erasure — request deletion of your personal data (subject to legal retention obligations).

GuardWatch Pro is operated from within the United Kingdom. If data is transferred outside of the UK or EEA, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses, to protect your data in accordance with applicable law.

10. Children's Data

GuardWatch Pro is a professional business tool intended for use by authorised security personnel. It is not designed for or directed at children under 16. We do not knowingly collect personal data from children.
